Introduction
The purpose of the job is to take overall responsibility for the Facilities Management function of the AGSA, this includes ensuring the effective maintenance, safety, and sustainability of AGSA’s buildings, offices, and related infrastructure. The role also ensures compliance with health, safety, and environmental standards while optimizing costs and supporting operational efficiency.
Job description

Strategic Function
Develop and implement AGSA’s facilities management strategy aligned with organizational objectives
Develop and implement facilities management standards, procedures, strategic plans, and business cases to meet business needs while ensuring compliance with AGSA policies and statutory requirements, in accordance with best practice
Provide strategic oversight on governance, compliance, and risk management pertaining to facilities management services
Ensure the delivery of Facilities Management services of a high standard
 
Product Management    
Oversee effective performance of all hard and soft facilities services including but not limited to: building management, cleaning, hygiene, hospitality, pest control, indoor plants, catering, facilities assets, reception, CRM/ facilities service desk
Ensure the provision of mail, logistics, meeting room and event support, reception, main switchboard, and transport services
Oversee sustainability initiatives, including energy efficiency and waste management
Provide an effective and efficient real estate management service
Manage, control and conserve all properties owned, leased and disposed by AGSA
Manage lease agreements in line with the requirements of the AGSA
Manage all facilities related matters for regional offices including negotiations with landlord and lease agreements
Manage projects related to the owning, acquisition, and development of property
Manage all facilities related projects including the planning, coordinating, executing and reporting on projects
Review and manage all contracts, vendor performance and SLA’s in relation to facilities management and maintenance
Plan and manage office space utilization and workplace optimization
Manage and implement facility planning to ensure maximization of the value and return on AGSA’s assets and property portfolio
Develop the fleet management strategy for AGSA
Manage the acquisition, disposal and maintenance of vehicles
Identify improvement opportunities and possible areas of risk to be addressed based on stakeholder needs
Ensure timely maintenance of buildings, equipment, and utilities
Manage service providers for cleaning, security, and technical maintenance
Implement preventive maintenance schedules to minimize downtime
Ensure compliance with Occupational Health and Safety Act and other relevant legislation
Conduct regular safety audits and risk assessments
Implement emergency preparedness and business continuity plans
Negotiate and manage contracts with facilities service providers
Keep up to date with current legislation and initiates research into current best practices and benchmark standards for all facilities services
Prepare reports on facilities performance, costs, and compliance
 
Stakeholder Management    
Build and maintain positive and value-adding relationships with relevant internal/ external stakeholders
Work with appropriate third-party providers to ensure constant service and supply of infrastructure
Liaise and collaborate with role players internally and externally on maintenance, renovation and facilities associated projects
Liaise with internal teams to ensure projects are executed efficiently on agreed timelines
Provide advice and guidance at a strategic level to the wider business about facilities issues
Works with the relevant business units on arrangements for events, conferences, meetings, and functions
 
People Management    
Support the business unit transformation/ culture plans
Support the management team regarding centre management and other people related tasks
Provide leadership and direction for the centre and manage team performance to drive productivity
Motivate, coach and mentor staff to ensure maximum productivity and development of the staff to their full potential
Determine the mix and level of capability required to enable the centre to support the BU and organisational objectives
 
Financial Management    
Compile the centre budget and contribute to the development of the business unit’s budget
Manage the centre expenditure
Prepare and manage the facilities management budget
Monitor expenses and identify cost-saving opportunities without compromising quality
Ensure compliance to AGSA policies and procedures
Ensure compliance with internal processes and procedures
Manage supply chain processes within scope of work
 
Other responsibilities
Perform and/or manage other projects, tasks and assignments not stipulated on the Job description as and when required

Minimum requirements

This position requires a minimum qualification of Post graduate Degree in, Commerce/ Facilities Management/ Property Management/ Project Management/
Real Estate Management or equivalent.

Minimum 7 years post qualification experience with at least 4 years’ experience
operating at a manager level.
