Financial matters for the Chief Risk Officer (CRO) portfolio
· Assessment – Cash advance 60 days and over, Unmatched purchase orders, conflict of interest declarations
· Budget Control – Variances on expense budget, journals, and investigate account movements
· (PS system) Purchase Orders:
· Payment of invoices
· Investigate financial queries
· Drawing of reports
· Monitor budget expenditure and ensure compliance with the organisation’s cost-effective measures
· Ensure compliance with SCM rules and procedures
· CWC/Legal panel of experts payments, allocating contract numbers, updating spreadsheet, look at status of payments, check all documents signed contracts, approved round robins, compiling and filing of all files
· Assisting in general queries from staff regarding admin issues, e.g. Timesheets, studies, PeopleSoft functions and leave.
· Preparation for meetings (invitations, venues arrangements, refreshments, etc.)
· Ensure that agenda and previous minutes are circulated
· Keep diary for meetings booked in the office.
· Minute taking and follow-up actions
· Management of petty cash and cash availability.
· Control and issue refreshments.
· Manage the requests for usage of pool vehicles in the centre.
· Typing of documents, using MS Office.
· Any work allocated by the BUAM

· Ensure all internal control requirements are complied with
· Drawing of PeopleSoft reports
· Ethical standards are complied with in terms of policies and procedures
· Project Management principles are applied in the execution of projects which include quality and timelines.
· · Monitor filling of asset forms
· · Keep an updated asset register
P Procurement
· · Assist in finding suitable suppliers
· · Obtain quotations
· · Obtain approval for purchases
· · Submit purchase order
· · Liaison with Finance to get payment done
· · Liaison with vendor/suppliers
· · Ensure the centre’s compliance with procurement policy and financial regulations.
P Project Administration
· · Monitor project schedule and assist with compliance
· · Develop a progress tracking tool
· · Assist with any other project responsibilities
