Job description
- Ensure supplier compliance with AGSA’s procurement policies
and ethical standards - Ensure cost-effective, and compliant purchasing to support operational needs and strategic objectives
- Support the accurate documentation, compliance with governance frameworks
- Leverage digital tools to streamline procurement processes
- Process purchase requisitions and purchase orders for goods and services
- Ensure data entry into procurement systems is kept up to date
- Keep existing supplier details up to date ie. BBBEE, Tax information, Commodities/Categories, any other details of the supplier, banking details, change of company name etc
- Gather and compile supplier database monthly activities and reporting in line with SCM OLA
Prepare purchase orders for procurement of goods and services - Determine inventory quantities are sufficient for needs in collaboration with SCM assets and inventory team, ordering more goods when necessary
- Respond to stakeholders and suppliers inquiries about order status, changes and/ or cancellations
Perform buying duties when necessary - Maintain up-to-date records of procurement transactions and supplier information
Assist in implementing digital procurement platforms and tools - Support automation initiatives by ensuring accurate data capture and workflow compliance
- Generate reports and dashboards for procurement analytics to enable data-driven decisions
- Ensure adherence to AGSA procurement policies, regulatory requirements, and ethical sourcing standards
- Compare prices, specifications and delivery dates to determine the best bid among potential suppliers
- Validate supplier documentation and contract compliance before processing payments
- Provide input into development of business requirements request of quotations (RFQs) and specifications
- Manage the end-to-end preparation and execution of RFQ within boundaries and targets set by BU leadership (goods /services package, RFQ type and approach, AGSA requirements, list of
suppliers, alternatives to negotiated agreement - Maintain audit-ready procurement records in line with AGSA governance requirements
- Resolve administrative issues related to invoicing, payments, and
contract execution
- Attend to stakeholder or customer requests
- Maintain relationships with existing suppliers and identify new sourcing opportunities
- Collaborate with inventory and warehouse teams to align procurement with stock levels and demand forecasts
- Liaise with suppliers to ensure timely delivery and quality of goods
- Resolve supply issues and maintain strong supplier relationships
- Communicate with suppliers regarding order status, delivery timelines, and documentation requirements
- Manage own development and performance as per the generic competency plan, training plan and individual performance contract
- Comply with the necessary training regulations, applicable policies and other training initiatives
Participate in the BUs transformation, culture, diversity and employment equity initiatives
- Ensure compliance with AGSA policies and procedures
- Ensure compliance with internal processes and procedures
- Manage supply chain processes within scope of work
- Assist in providing information on payments to suppliers and service providers
- Perform and/or manage other projects, tasks and assignments delegated by the Manager not stipulated in the role profile description as and when required

Minimum requirements
- Minimum Diploma in Commerce, Supply Chain Management, Procurement, Logistics or related field.
- Minimum of 2-3 years’ experience in a procurement, tender management, contract administration, or supply chain environment.
This appointment is subject to the preferred candidate obtaining the necessary security clearance, reference checking and competency assessment.
